Online training: KiTrainer in action at KISTERS.

The challenge

Planning, organizing and carrying out trainings in person and online, documenting records and keeping track of lists of people tie up a lot of resources. The two primary requirements for the introduction of KiTrainer were to reduce this workload and to be able to carry out the first necessary trainings for new employees online at short notice, for example in information security and occupational health and safety. In addition, the new solution was to be used throughout the company in multiple languages and be able to address all management areas.

The solution

It was quite an obvious decision to use the KISTERS software solution KiTrainer for our own staff. Within a relatively short time, Dr. Heinz-Josef Schlebusch, CISO and Data Protection Officer, created the basic training on information security with the KiTrainer designer as a pilot project. In the KiTrainer planner, he defined the target group and the training interval. To check the success of the basic training, he created quiz questions that each participant had to answer at the end of the training.

Meanwhile, Dr. Juliane Ruhland, Head of Quality Management, implemented an occupational health and safety training. This training is designed to be site-dependent, as certain content differs depending on local conditions, such as escape route plans or information on first aiders and fire safety assistants.

The first online training activities then took place. It quickly became evident that KiTrainer automated many routine tasks and greatly reduced the administrative effort as expected, so that Dr. Schlebusch rolled out the information security training for all subsidiaries across the company in two languages, German and English.

KiTrainer provides reports and evaluations, e.g. which training activities have been completed in a certain period of time. A designated rights system controls access to sensitive data.

In the meantime, further trainings have been implemented in KiTrainer, for example in the area of energy management. Above that, a compliance training is already planned.

The benefits

Reduced documentation effort for audits.

The KiTrainer software monitors all training dates and deadlines fully automatically, sends reminder emails, creates certificates and provides complete and legally compliant documentation. This has substantially reduced the administrative workload for training and leaves more time for more complex tasks instead of routine operations.

Target group specific trainings.

All management areas can be addressed with the KiTrainer. The training on information security has been rolled out for all subsidiaries, while the trainings on occupational health and safety are specified for each site. The KiTrainer planner allows assignment to any target group, for example by site, organizational unit or position profile.

Control of learning success via quiz.

At the end of a training activity, employees complete a quiz with predefined multiple-choice questions to check their success. The result is documented and archived in a legally compliant form as proof of effectiveness. KiTrainer does not provide any evaluations of the test results of individual persons, but only either the success or the status “not completed” for each training activity.

Group-wide and multilingual use.

KISTERS uses KiTrainer group-wide in German and English. The employees can carry out the training activities regardless of time and place, so that no appointments need to be made and the system runs smoothly even across different time zones.
